Balances

codeto report keeps running hour balances per employee. They show how much over- or undertime has accumulated in the current year, how much compensation credit from the previous year is available and how much holiday is still open.

Rollout in progress, documentation to follow

The "My balances" view is live in one environment so far, in all others it will follow shortly. Where it has been activated, it is available in both the web app and the mobile app.

For now this page describes only the basics. The detailed documentation will follow in the coming weeks.

The three balance accounts

AccountContent
GAV hoursOver- and undertime of the current year
CompensationOvertime carried over from the previous year
HolidayOpen holiday days and hours, including a forecast to year end

The separation between GAV hours and compensation makes visible where a credit comes from: GAV hours show the current year, compensation shows the credit carried over from the previous year. Time taken off is charged to the compensation account.

How the accounts are split at the turn of the year and which GAV limits apply is described under Overtime, excess time and vorholzeit.

Who sees which balances

Your own balances appear as "My balances" in the sidebar and as a tile in the overview area of the home page.

Access to other people's balances depends on the technical role, not on the everyday role: it requires FA or SU. A supervisor with RW only sees their own balances, even if employees are assigned to them for approval, see User roles and permissions.

In the mobile app your own balances are in the menu under "My balances", see Menu.

Visibility also depends on activation

The role alone does not decide: the function can only be used if it has been activated for the company.

The sidebar entries "My balances" and "Employee balances" as well as the tile in the overview area are always present and can be opened. If the function has not yet been enabled, the view stays empty and no hours are shown.

An empty balance view therefore does not necessarily mean that there are no hours, it can also mean that the function is not yet active for the company. If in doubt, ask codeto.

Where the values come from

How the opening values reach codeto report depends on the environment:

EnvironmentOrigin of the values
Enterprisethrough the interface from the upstream system, see Employee Ingest API
SaaSmanual entry per employee

What is taken over is the overtime balance from the last payroll run.

After that the balances result continuously from the recorded reports, the target hours from the employee contract and the absences taken.

What is still to come

The detailed documentation is in preparation. Planned among other things:

  • Structure and operation of the "My balances" view
  • Employee balances as a supervisor or admin
  • Interaction with week closure, compensation usage and absence requests
