Absences and public holidays

The GAV governs holiday entitlement, public holidays, paid short absences and the waiting day for illness. In codeto report these requirements are mapped through absence types and the public holiday configuration.

Public holidays

According to Art. 30 and 31, nine federal or cantonal public holidays per year have to be compensated, provided they fall on a working day. The employer's company premises are authoritative.

Standard list in accordance with Art. 30.2: New Year's Day, 2 January, Good Friday, Easter Monday, Ascension Day, Whit Monday, 1 August, 25 December, 26 December.

Record anew every year

Public holidays have to be recorded anew every year, there is no automatic import. Without complete public holidays the target hours are wrong, and with them the overtime balance.

Relevant in practice:

  • The percentage determines which share of the target time is booked as a paid public holiday. 100 % corresponds to the full target time.
  • Record non-compensated public holidays with 0 %. They appear in the calendar but do not generate any hour booking.
  • Bridge days have a target time stored just like normal working days. Unlike public holidays, however, no hours are booked automatically for them. If the day is to be balanced through vorholzeit, this cannot be automated in codeto report and has to be maintained manually, see Overtime, excess time and vorholzeit.

Holiday

The holiday entitlement under Art. 29 depends on age:

The calendar year in which the age is reached is authoritative.

Entitlement is not calculated automatically

codeto report keeps the holiday balance but does not calculate the entitlement from the age. The annual entitlement comes from the HR system. When an employee reaches the age of 50, the adjustment to 30 days has to be initiated there.

The reduction under Art. 29.6 for more than two months of absence is also not automatic.

Maintaining the values manually in codeto report is currently not possible. It will follow with the activation of the balances, see Balances.

The GAV provides for paid short absences. For clean reporting, a separate absence type per reason is recommended:

The absence types are created in the Absence management.

Evidence and request requirement

For each absence type you can define whether a request is required and from how many consecutive days evidence is demanded. This is useful for absences requiring a medical certificate.

Waiting day for illness

According to Art. 37.7 the first day of illness is not paid, even with a medical certificate. Apprentices are exempt from this.

No automatic waiting day rule

codeto report has no automatic waiting day calculation. The first day of illness is not treated as unpaid on its own.

A workable approach: keep two separate absence types, for example "Illness waiting day" without continued salary payment and "Illness" for the subsequent days. The assignment is made during recording or during the check by line managers.

Please note: if the illness starts on a Saturday, Sunday or public holiday, the waiting day falls on that day.

Checklist for the start of the year

  1. Record the public holidays of the new year in full.
  2. Check holiday entitlements, in particular for employees who reach the age of 50.
  3. Check absence types for completeness against Art. 32.
  4. Set out vorholzeit for bridge days in writing (Art. 26). It is kept outside codeto report.
